Job Description:

Volunteer Action is looking for a caring, organised and people-focused person to support the Chief Executive with the day to day operations of the charity and provide centralised Volunteer recruitment and retention support.
You’ll support members, recruit and train volunteers, be visible at outreach events and markets, in addition to daily operational tasks within the office.

Accountable to: Chief Executive

Role purpose.
This is a hands-on management role, the purpose of which is to work with the staff to
ensure that the Volunteer Action (VA) services are fully operational and delivering customer
service excellence.

Job Description.
To co-ordinate and develop the volunteering programme (charity wide) to meet the
demands of the services provided by VA to meet the Charity’s aims.
To support the development and management of all external communications, marketing
and fundraising activities.
To work closely with the CE and deputise as and when required.

Key Responsibilities
Volunteer Retention & Recruitment
Be responsible for:
• Leading the recruitment of volunteers across Volunteer Action's services, including
Befriending, Community Car Scheme, Social Activities and other organisational
projects.
• Developing volunteer recruitment campaigns alongside colleagues to attract a
diverse range of volunteers.
• Create and maintain a Volunteer Handbook and volunteer job descriptions
• Conducting volunteer interviews and suitability assessments.
• Processing volunteer applications, references and Disclosure and Barring Service
(DBS) checks.
• Coordinating volunteer inductions and ensuring all mandatory documentation is
completed.
• Delivering volunteer induction and ongoing training programmes.
• Maintaining accurate volunteer records and training logs.
• Supporting volunteers throughout y- providing guidance, supervision and welfare
support, working proactively to improve volunteer retention and satisfaction.
Identifying learning and development opportunities for volunteers.
• Supporting the organisation's attendance at recruitment events, community
presentations and volunteer fairs.
• Working with colleagues to recognise and celebrate volunteer achievements
throughout the year.

Operations
• Have an understanding of all schemes, working with Scheme leads to develop and
improve services and provide absence cover for colleagues as required..
• Ensure all mandatory documentation is completed, accurate records kept and
databases used appropriately, up to date and within GDPR guidelines
• Responsible for the effective purchase and maintenance of office resources.
• Identify and introduce continuous improvements to working procedures
• Work with the team to ensure a coordinated message and optimise growth of all the
Charity’s services.
• Encourage use of our other services when communicating with members.
• Attend or arrange events to promote the volunteering programme in the local
communities (These meetings may be out of office hours)
Marketing Administration Support
• Provide creative input and general administrative support for marketing activities
across Operations (both digital and print)
• Maintain marketing content calendars, social media scheduling, posting and
monitoring to key deadlines under guidance of the Chief Executive (CE)
• Assist with the gathering of stories, statistics and case studies for promotional use
• Provide admin support during marketing campaigns, events and community
engagement
• Participate at marketing, outreach events and assist with the planning and
organisation of the events.

Deputising for the Chief Executive
• Work with, and send information to, other organisations who work with our client
group on an ongoing planned basis, ensuring that the referral pathways are open
and accessible
• Represent VA at relevant meetings, including developing partnership working with
organisations that have a common purpose or work with the client group
• Understand the funding mechanisms and support the CE in bids and fundraising
events
• Monitor and identify gaps in service and seek ways to bridge the gaps, supporting
the CE and Trustees in developing new opportunities in line with the organisation’s
strategic aims.
• Undertake any other tasks and duties that may reasonably be required in relation to
the service.

Service Development
Assist the CE with:
• Identifying gaps in service provision and opportunities for improvement.
• Developing new initiatives to improve volunteer engagement and member
experience.
• Contributing towards funding reports, grant monitoring and impact reporting.
• Assisting with the development and review of policies, procedures and operational
guidance.
• Maintaining knowledge of current best practice within volunteering, safeguarding
and community support.

Partnership Working
• Develop and maintain positive relationships with referral agencies, healthcare
professionals and community organisations.
• Promote the work and impact of Volunteer Action within the community.
Safeguarding & Compliance
• Ensuring safeguarding concerns are identified, recorded and reported appropriately.
• Working within Volunteer Action's safeguarding, GDPR and confidentiality policies.
• Ensuring all volunteer recruitment processes meet legal and organisational
requirements.
• Maintaining accurate records to support quality assurance and compliance.
General Responsibilities
• Work collaboratively as part of the wider Volunteer Action team.
• Provide occasional support to the three Scheme and other services during periods of
increased demand.
• Contribute to organisational events, fundraising activities and promotional
opportunities.
• Attend team meetings, supervision sessions and mandatory training.
• Undertake continuing professional development to maintain knowledge and skills.
• Undertake any other duties appropriate to the role as reasonably requested by the
Chief Executive.
